What Personal Data is Processed?

Akeneo collects personal data when you fill out a form on our Website or when you subscribe to our newsletter or a demonstration. The collected data includes:

Recipients of the Collected Personal Data

With the exception of what is presented in this privacy policy or what is permitted or required by applicable law, Akeneo does not share User data with third parties without their prior authorization, and Akeneo does not allow third parties to collect personal data from Website Users. However, Akeneo may share User personal data with its third-party service providers, such as hosting and data storage service providers, to the extent necessary to provide the services requested and expected by Users. These third-party providers will only have access to information strictly necessary to fulfill their designated functions, will be subject to confidentiality and data protection obligations, and will not be authorized to use your personal data for their own commercial purposes. As the Data Controller, Akeneo will in no case be released from its obligations to Website Users due to the use of such third-party service providers.

Transfer of Personal Data Outside the European Economic Area

User personal data is processed within the European Economic Area (EEA) whenever possible. However, Akeneo’s subsidiaries and some of its service providers are located in countries outside the EEA, and your personal data may be processed in these countries. Akeneo may also organize events with partners located outside the EEA. In this case, you will be informed at the time of your registration for the event of the transfer of your personal data to the third country where the relevant provider is located.

Security Measures Implemented by the Data Controller

Retention Period for Personal Data

In general, your personal data will be retained only for the period necessary to achieve the purposes for which the data was collected or to comply with legal or regulatory requirements. Unless applicable exceptions apply:

  • Data collected via forms (contact/information request, access request to resources on the Website, etc.) are kept until their processing is complete.
  • Data collected as part of your registration for an Akeneo event is kept until the end of the next event.
  • Data collected as part of your registration to receive commercial communications or articles from Akeneo is kept until your unsubscribe.
  • Data collected as part of your job application is kept for two (2) years from your last contact with us unless local legislation recommends different retention periods and unless you request the destruction of your file.
  • Login data is kept for up to thirteen (13) months.

Beyond these periods, Akeneo retains your data for:

  • Three (3) years for data kept for prospecting purposes.
  • Five (5) years for data kept for evidence.
  • Ten (10) years from the close of the accounting year for data kept for accounting purposes, as well as for commercial documents.

Rights of Users Regarding the Use of their Personal Data

As a user of our site, you have the right to control the use of your personal data. You have the right to access your data, allowing you to obtain clear, transparent, and understandable information about how we use your personal data and your rights (as provided in this policy), as well as a copy of your personal data. You have the right to rectification in case your personal data is inaccurate, outdated, or incomplete.   • The use of your data does not comply with applicable legislative or regulatory provisions.

The withdrawal of consent does not affect the lawfulness of processing based on consent before its withdrawal. You have the right to object to the processing of your personal data unless there are legitimate and compelling reasons that override your interests, rights, and freedoms, such as compliance with legal obligations or the establishment, exercise, or defense of a legal right. You have the right to data portability in accordance with applicable data protection laws, allowing you to receive the personal data you provided to us. This right applies only if it meets the following conditions:

  • It concerns only your personal data, excluding all anonymous data or data from third parties.
  • It does not harm the rights and freedoms of third parties, including ours (especially trade secrets or intellectual property).
  • It concerns personal data processed automatically (paper files are not included).

Processing is based on your consent or the performance of a contract concluded with us (to verify this, you can refer to Article 2 of this policy).

  • You have the right to temporarily limit the processing of your personal data, particularly for verification purposes:
  • When you contest the accuracy of your information, allowing us to verify that it is correct.
  • If the processing is unlawful, and instead of requesting erasure, you prefer to limit its use.
  • If we no longer need the data for processing but they are still necessary for you to establish, exercise, or defend a legal right.
  • If you object to the processing under your right of objection, during the verification period to confirm that our legitimate reasons outweigh yours.
